What are some best practices for communicating with donors and keeping them informed about our work?

Effective donor communication is not about frequency or good storytelling; it is about reducing donor risk and increasing donor confidence. The NGOs that retain funding communicate in ways that mirror how donors think and make decisions. Four best practices are critical.
1. Communicate Like a Partner, Not a Beneficiary
Donors do not want to be impressed – they want to be reassured. Communication should be professional, structured, and decision-oriented. Share progress, risks, adjustments, and lessons learned. NGOs that only communicate success signals immaturity and erode trust.
2. Lead With Evidence, Then Humanise It
Impact data must come before stories. Clear indicators, progress against targets, and outcome-level results tell donors the organisation is in control. Human stories should be used to contextualise results, not replace them. This balance signals institutional competence.
3. Be Predictable, Transparent, and Proactive
Trust is built through consistency. Agree on reporting timelines and formats up front, and respect them. When challenges arise, communicate early and propose solutions. Donors lose confidence not because problems occur, but because NGOs hide them.
4. Close the Loop Beyond Reporting
Strong NGOs do not disappear after submitting reports. They show how donor funds influenced decisions, strengthened systems, and informed future programming. Sharing how learning is applied turns donors from funders into long-term partners.
Ultimately, the goal of donor communication is not visibility; it is credibility. NGOs that communicate clearly, honestly, and with institutional discipline are perceived as low-risk, high-trust partners. In today’s funding environment, that perception is what sustains relationships and unlocks repeat funding.
